User guide

One section per job. Each one tells you what the screen is for, the exact steps, and how to tell an empty screen from a screen that has not been set up.

Two conventions worth learning first:

  • Empty means the feature works and there is nothing in it yet. You will see a short line such as No drafts. or a dash.
  • Not configured means the feature is not switched on for your workspace. You will see a sentence saying so, and the buttons will be disabled. Nothing you type will fix it — it needs the LEM team.

Every change you make shows a small toast: Saving…, then Saved, or an error message. If a change fails you will see The change was not saved. Try again.

Start your day on Today

Today is the overview. The left rail calls it Today; the page heading and the browser tab call it Mission Control (Centrum sterowania in Polish). Same page. It has no controls of its own beyond the links.

Top of the page is the trust strip: Data region (only when a region has been recorded for your workspace), Last backup with a relative time such as 2 h ago or never, and the ⬇ Export my data button.

Below that:

  • Stat tilesDrafts pending and Open tasks, each linking to its screen.

  • 🚨 Needs attention — appears only when something is wrong. Chips link straight to the problem: drafts pending, overdue tasks, reminders fired, finance overdue.

  • 📍 Commitments — see below.

  • 📌 Essentials — one row per area, each with a button on the right. A row with nothing in it shows a dash. Which rows appear depends on your package:

    RowButton
    🏢 PortfolioOpen
    💰 FinanceOpen
    ✅ Next taskKanban
    ⏰ Next reminderReminders
    🐝 Recent teamHive Mind
    ⏱ Next missionMissions
    🖥 ServicesServices
    📧 MailMail

The buttons are not all labelled "Open" — only the first two are. Recent team, Next mission and Services are operational rows that appear only where those screens are in your package; if you do not see them, that is correct for you. The Mail row reads not configured while connected accounts are switched off.

  • ⚙️ Your LEM setup — your morning briefing and commitment reminders, read-only.

Empty day: the alerts card disappears entirely, commitments read No open commitments., and the essentials rows show dashes.

Chat with LEM

What it is for. Asking LEM to do things, and asking it what it knows.

Where. Conversation → Chat.

Steps

  1. Optionally pick a Persona. Leave (LEM) selected unless your workspace was set up with a specific brief you want to use.
  2. Type in the box marked Write to LEM... (Cmd+Enter to send).
  3. Press Send, or Cmd+Enter (Ctrl+Enter on Windows).

While it works, a bubble reads LEM is thinking.... The answer then streams in a few words at a time, and the elapsed time appears next to the box.

Good to know

  • The line You are interacting with an AI system, not a human. is permanent. It is not a warning about a fault.
  • A message longer than 4,000 characters is rejected by the server. The box has no character limit of its own and gives no warning as you approach it, so an over-long message just fails. Split long input into several messages.
  • Only one message at a time. Send does nothing while an answer is arriving.
  • The transcript is not reloaded when you refresh. The window always opens with the welcome message. What LEM saved survives; the visible conversation does not.
  • If an answer stops halfway, see Troubleshooting.

Empty state. A single bubble: Hi, this is LEM, your AI chief of staff. Choose a persona, or leave LEM selected, and start writing. That is the normal starting point every time.

Review what LEM did

LEM does not send anything outward on its own. This is where you check its work.

Drafts for approval

Where. Inbox → Drafts.

Each draft is labelled AI-generated draft with the note Review carefully before approval., shows the file name and a preview, and offers three buttons:

  • ✓ Approve — accept it.
  • ✗ Reject — discard it.
  • 💤 Tomorrow 08:00 — snooze it until tomorrow morning.

The preview is not the whole draft. This screen shows only the opening ~400 characters of the file, cut at that point with no ellipsis and no expand control, so a long draft looks finished when it is not. To review the whole of it you must open the draft's source file yourself — the file name on the card tells you which one. This matches what the AI Transparency notice requires of you: before approving, open and review the full draft in its source surface and verify the recipient and any material external effect.

Approval is your decision, and it is the point at which responsibility for the content passes to you.

Snoozed drafts move to a second card, 💤 Snoozed drafts, with an ⏰ Wake button per item.

Empty state: No drafts.

Commitments

Where. The 📍 Commitments card on Today.

Commitments are things that were promised — by you or to you — that LEM has picked up. They are grouped into Overdue, Due in the next 7 days, and Later or without a deadline, each with a count. Every item shows either You are responsible or Responsible: <name>, then a due line, the description, and sometimes For: <name>. The due line always starts with the word Due: — an item with no deadline reads Due: No deadline, which is clumsy but is not an error. Long columns end with +N more.

This card is read-only. To close or change a commitment, tell LEM in chat.

Empty state: No open commitments. A column with nothing in it shows a dash.

Memory

Where. Conversation → Memory.

Notes LEM should keep. Type into New memory entry... and press 📌 Remember. The table lists File and Entry.

The list is capped at 40 rows, and it is not sorted. Entries are read in file order, so the 40 you see are the oldest 40, not the newest. Once you pass 40 entries, anything you add stops appearing on this screen even though it is stored. If you need to check that a recent note was saved, ask LEM in chat rather than looking here.

Empty state: Empty.

Tasks and reminders

Tasks

What it is for. A kanban board for work in progress.

Where. Work → Tasks.

Steps

  1. Choose a view: Status groups by column, ⏳ Time groups by due date.
  2. Add a task: type into New task..., optionally set a due date, a priority (Medium, High, Low) and a status (To do, Backlog, In progress), pick a company from the - company - list, then press .
  3. Move a task with and .

Columns in status view: Backlog, To do, In progress, Done. In time view: ⚠ Overdue, Today, This week, This month, Later, No date. Each header carries a count. An overdue due-date chip turns red.

A task with no title is refused with Task title is required.

Empty state: an empty column shows a dash. The board itself is always drawn.

Reminders

What it is for. A prompt at a specific time.

Where. Work → Reminders.

Steps

  1. Type into What should LEM remind you about?.
  2. Set a date and time.
  3. Press .
  4. Press on a row when it is done.

The table shows When, What, Status, and a fourth, unlabelled column holding the button. Leaving either field blank gives Reminder text and time are required.

Status is the state stored on the reminder, not a comparison with the clock. It reads Open until the reminder has actually been fired by the workspace, and Due after that. A reminder whose time has passed but which has not yet been fired still reads Open — so treat the When column, not the status chip, as the answer to "is this late?".

Empty state: No reminders.

Portfolio and finance

Portfolio

Where. Portfolio → Portfolio.

A table of your companies and projects. Two of its columns have no heading: the first holds a coloured dot for the company, and the last holds the Open button that takes you to that company's own page. The labelled columns between them are Name, Type, Persona, Projects, Open tasks and Recent activity.

To add one: fill in Company name, pick a persona, choose company or project as the type, optionally set Vault folder (optional), and press + Add company. A blank name gives Company name is required.

Empty state: the table renders with headings only, above the add form.

A company page collects that company's invoices and payments, open tasks, active projects and recent activity, with a 💬 Chat with @persona button and a ← Mission Control link back. Sections with nothing in them say so: No invoices - add the first one below., No open tasks., No active projects., Nothing yet.

Finance

Where. Portfolio → Finance.

Four tiles across the top: receivables current, receivables overdue, payables current, payables overdue. Totals are shown per currency.

To add an item: pick the company, choose receivable (issued) or payable, type a description or invoice number, enter the amount, pick the currency (PLN, EUR, GBP, USD), set a due date, and press . Missing fields give Description and amount are required.; a malformed amount gives Enter a valid positive amount with no more than two decimal places.

Each row can be marked ✓ Mark as paid, and reversed with ↶ Undo payment. An item with no company at all reads No company assigned. If instead you see an unfamiliar code in the company column, that is an item pointing at a company record the workspace can no longer resolve — the raw identifier is shown as-is. Tell LEM in chat which company it should be, or report it to support.

Empty state: headings and four zero tiles, with no rows.

Images

What it is for. Looking at images your workspace has produced or collected.

Where. Conversation → Images.

It is a plain gallery — up to 18 images with their file names underneath. There is no upload, no delete and no refresh button. New images appear when the workspace produces them.

Two limits to know, because neither is announced on screen. Only the first 18 images are shown, with nothing to say more exist. And any file smaller than 10 KiB is skipped entirely — small icons, thumbnails and simple charts can be produced successfully and still never appear here.

Empty state: No images.

Settings and preferences

Where. Settings → Settings.

Account and services

Four read-only rows telling you the state of your account:

RowWhat you may see
Account securityPassword active (and second factor, where enabled)
BillingManaged manually by the LEM team
Supportyour support email address, or Assigned during account launch
Phone agentActive for this account, or Not active in this package

None of these are editable here. If Support still reads Assigned during account launch, use the address in your Order Form until it appears.

Default currency

The one setting you can change on this page.

  1. Pick a currency: PLN, EUR, GBP or USD.
  2. Press Save.

You will see Saved. or Could not save the setting.

The hint on the page is exact: Used for new finance items. Existing items keep their original currency. Changing it does not convert anything.

Everything else

  • Language — the 🌐 EN / 🌐 PL button at the foot of the left rail. English and Polish. The choice is remembered in your browser.
  • Theme — the Theme button in the same place, dark or light. Remembered per browser, not per account.
  • Blur — hides content on screen. Useful when sharing your screen. Not remembered; it resets on reload.
  • Collapse — narrows the left rail.
  • Morning briefing and commitment reminders — shown read-only on Today under ⚙️ Your LEM setup, with the on/off state, the time, the channel and what is included. The setup line reads not set up yet, proposed — awaiting your answer, configured, complete or declined. There is no form for these. As the page says: Change any of this by talking to LEM.

Export your data

Where. The ⬇ Export my data button in the trust strip at the top of Today.

One click starts the download. There is no confirmation step and no email; the zip file is built and streamed to your browser.

What the export owes you. Clause 13.1 of the Data Processing Agreement defines the archive as a fixed, reviewed allowlist of customer data: a transactionally consistent snapshot of the workspace database (including message history and search indices), the commitments database where present, your workspace configuration files, and your content under the personas, drafts, context, vault, memory, skills, scheduled-task and kanban roots. It deliberately excludes credentials and .env files, dashboard authentication material, raw session files, logs, backups, provider and runtime data, and vendor libraries — none of which is your content. Every archive carries a file-and-hash manifest and must pass archive, database-integrity and SHA-256 self-checks.

What that means in practice. An export taken while your workspace is running is a live snapshot: the databases are captured consistently, but other files are copied as they are and anything not yet written at the moment of capture may be missing. The end-of-term export, generated from a stopped workspace, is the authoritative one. The manifest.json at the root of the zip is the definitive statement of what your particular archive contains — read it rather than assuming a file is present.

If the archive is missing something you expected, that is a discrepancy worth reporting to support in writing, quoting DPA clause 13.1 and the manifest.json from your download. You are also entitled to request additional export assistance under clause 10.

Take an export before any change you might want to undo, and keep periodic exports of anything business-critical.

Available when ordered and enabled

The three screens below share one underlying capability: connected outside accounts. That capability is switched off by default, and for the first release it is required to be off. Everything here therefore describes what the screens do once the capability has been ordered, evidenced and enabled for your workspace — and, first, what you will see until then.

What you will see by default. All three screens exist in the rail but report that they are not set up:

ScreenDefault message
Inbox → MailMail is not configured for this workspace. Account tabs are absent and ↻ Refresh is disabled.
Work → CalendarCalendar is not configured for this workspace. The legend is empty and no grid is drawn.
Settings → ConnectionsConnections have not been activated for this workspace yet. Contact your LEM administrator. 🔗 Connect account is greyed out.

None of this is a fault, and nothing you do in the dashboard will change it. Connecting an account cannot fix the Mail or Calendar message either, because connecting itself depends on the same capability. Ask the LEM team where the gate stands before planning work around these screens.

Connect an account (Connections)

What it is for. Giving LEM access to an outside account — a mailbox, a calendar, a document store — so it can read from it and prepare work.

Where. Settings → Connections.

Steps

  1. The list under Connected accounts loads by itself, showing Loading… first.
  2. Under Connect an app, choose an app from the dropdown.
  3. Press 🔗 Connect account. The status line shows Connecting….
  4. A new browser tab opens with that provider's own consent screen, and the status changes to Authorize in the new tab. followed by a link. That link is always shown, whether or not the tab actually opened — it is a fallback, not a sign that something went wrong. Use it if no tab appeared.
  5. Sign in and approve the access in that tab.
  6. Come back and reload the page. The connected list does not refresh itself.

Connected accounts appear in a table: App, Account, Status. A working connection shows a green ACTIVE.

Empty state: No accounts connected yet — pick an app below and connect.

Other messages

  • Could not check connections right now. — the list could not be read. Reload.
  • Unavailable. — the same, after a network failure.
  • Could not start the connection. — the connection could not be started. See Troubleshooting.

To remove a connection, revoke LEM's access in the provider's own security settings, then ask the LEM team to clear the record.

Mail

What it is for. Seeing what is in your connected mailboxes without leaving LEM. It is a reading view — you cannot compose here. Outbound mail arrives in Drafts.

Where. Inbox → Mail.

Steps

  1. The page loads by itself. While it works the status reads fetching..., then refreshed <time>.
  2. Pick a mailbox from the row of account tabs, one per connected address.
  3. Read the table: From, Subject, When. A dot marks unread. A subject that is a link opens the message.
  4. Press 💤 on any row to snooze it. That creates a reminder for tomorrow at 08:00.
  5. Press ↻ Refresh to fetch again.

Empty inbox: Empty.

Calendar

What it is for. Seeing your connected calendars. It is read-only: you can browse and inspect events, but you cannot create, edit or delete them here.

Where. Work → Calendar.

Steps

  1. Move through time with , Today and .
  2. Choose a range: Day, 5 days, Week, Month, Year.
  3. Adjust row height with and +.
  4. Press to reload.
  5. Click an event to open its details — recurrence, reminder, location, notes, guests with their responses, attachments, a 🎥 Join (Meet) button when there is a meeting link, and Open in Google Calendar. Press Escape or click outside to close.

The legend under the toolbar lists your connected calendars, one colour each. A month view with too many events in a day shows +N more.

Empty calendar: the grid still draws — hour lines, day headers, the red current-time line — with no events on it. There is no message; a drawn but blank grid means "connected, nothing scheduled".
